Board of Directors Meeting

I. Meeting Activities:

Opening Ceremony, including handover of chapter presidents, certification of Chapter Elder Advisors, certification of newly-established Chapter Elder Advisor Committees; Three Acts of Goodness Microfilm Award Ceremony; Motion Discussion; Night of Buddha’s Light; Closing Ceremony, etc.

II. Meeting Schedule: Tentative as follows

• 9/6 (Fri): Arrival, Check-in (Hosuiji Temple), Dinner (Hosuiji Temple), Opening Ceremony, TAG Microfilm Awards.

• 9/7 (Sat): Ven. Master Hsing Yun Unveiling Ceremony, BLIA Affairs Sessions/Motion Discussion/Keynote Speech, Specialty Lunch, Motion Discussion, Farewell Banquet, Night of Buddha’s Light, Closing Ceremony.

• 9/8 (Sun): Post-meeting Tour.

＊ The organizer reserves the right to adjust the schedule. Please follow in accordance with official updates.

III. Participants:

• World Headquarters
  President, Honorary President, Vice Presidents, Elders, Directors, Legal Affairs Officer, Treasurer, Secretary General, Vice Secretaries General;
  Committee Directors (Vice), Lay Dharma Lecturers/Teachers, Group Members.

• Chapter
  Chapter Elder Advisors, Elder Advisors General (Vice), Presidents, Monastic Advisors, Executives, Members.

• Subchapter
  Subchapter Elder Advisors, Presidents, Monastic Advisors, Executives, Members.

＊ Registration limit: 1,000 people (excluding BLIA Japan Chapters).

IV. Fees:

1. 1. 1. USD and JPY are accepted for payment. (US$1 = ¥150)

      2. Registration and payment before March 31, 2024: $300/¥45,000 per person
         Registration and payment from April 1-30, 2024: $350/¥52,500 per person
         Registration and payment from May 1, 2024: $400/¥60,000 per personRemarks:
         1) The above fees include meals, accommodation, and transportation during the Meeting (from 9/6 to breakfast on 9/8.)
         2) As hotel rooms need to be booked in advance, the first promotional period for registration will end on March 31, 2024.

      3. Rooms will be mostly 4-person rooms.
         Those requesting double rooms must pay an additional $100/¥15,000 per person.
         Those requesting single rooms must pay an additional $150/¥22,500 per person.

      4. Those arriving earlier or leaving later and require transportation, meals, and accommodation (at their own expense) should register with the organizer in advance for arrangements to be made.

      5. For cancellation of registration, there will be no refund nor transfer of the registration to another person.

V. Registration:

1. 1. 1. Date: Registration begins on December 21, 2023, with a limit of 1,000 people (excluding BLIA Japan chapters.)

      2. Method: Online at https://signup.blia.org.tw/login.aspx

      3. Transportation: The organizer will provide transportation on 9/5 to 9/8 from Haneda Airport (HND) or Narita Airport (NRT) to Hosuiji Temple. Please provide flight information to the organizer as soon as possible for arrangements to be made.

VI. Check-in:

1. 1. 1. Date and time: 9/6/2024 (Fri) 14:00-18:00 JST (Hotel check-in begins at 15:00)

      2. Location: Hosuiji Temple Accommodation: Hot spring hotels in Gunma (The exact hotel will be determined based on each chapter’s registration count.)

      3. Method: Please make payment in advance. The BLIA membership card should be used for check-in as well as the event badge and souvenirs.

VII. Further information:

1. For the Elder Advisor Committee Establishment forms, please refer to Attachments 1.

2. The Meeting of the Board of Directors welcomes sponsorship from BLIA chapters and members. For more information, please refer to Attachment 2.

3. Chapters which have held a re-election at the end of 2023 must bring their chapter flag and sash for the handover ceremony to the new president.

4. The Night of Buddha’s Light will be held for deepening fellowship between BLIA members, and all chapters are welcome to provide performances. For the registration form, please refer to Attachment 3.

5. Participating chapters must bring their respective region’s chapter flag and participants should wear their BLIA uniform and membership card.

6. Airport pickup and drop-off:
   1) The organizer will only provide transportation from 9/6 to 9/8 between Haneda Airport (HND) or Narita Airport (NRT) and Hosuiji Temple. Please provide your flight information to the organizer as soon as possible for arrangements to be made.
   2) Please provide the airport and terminal of arrival or departure during registration, and wear your BLIA uniform while arriving or departing for ease of operation.

7. Post-meeting tour: For the itinerary and registration details, please refer to Attachment 5.

8. On 9/10 (Tue) 10:00 AM, an inauguration ceremony will be held at Fo Guang Shan Osaka Temple. Due to space constraints, attendance will be limited to around 100 people.

＊ We request all chapters interested in visiting Fo Guang Shan Osaka for their post-meeting tour to do so after the morning of 9/10. Please arrange for a 2-3 hours tour to FGS Osaka for visit and meal with each session limited to 120 people (3 tour buses). Please register in advance for arrangements to be made.

9. Starting from 2024, in actualizing “Environmental and Spiritual Preservation,” printed copies of the event handbook and commemorative journal will no longer be provided to every participant. World Headquarters Directors, Committee Directors (Vice), Chapter Presidents, and Monastic Advisors will be provided with one printed copy of both publications. All other participants will be provided with digital copies instead.

1. 1. 1. Registration fees, sponsorship funds, and post-meeting tour fees should be paid to the institution-in-charge before 5/31.

      2. After payment has been made, please email the proof of payment to fgsjp0722@gmail.com and fill out the 2024 Registration Fees Summary (Attachment 4). For verification purposes, please provide the name of your chapter, the payer, and the point of contact.
